This is the order itself, priced. Enter the quantity and unit price, the discount the supplier has actually agreed, your shipping charge, your state's rate on the goods line and the next number in your sequence. The sheet returns the line total before discount, the discount, the net goods value, the tax on it, the order total, the landed cost a unit and the number this order will carry. On the worked example 40 units at $18.50 is $740, a 5% discount takes $37 off, tax at 7% on the remaining $703 is $49.21, and with $75 of shipping the order comes to $827.21, or $20.68 a unit landed. The landed figure is the one worth looking at twice, because it is the number that should be compared against another supplier's quote.

Discount comes off before tax, which is where sheets go wrong

$740 of goods less a 5% discount is $703, and the tax is charged on $703 rather than on $740. Getting that order of operations backwards overstates the tax by a couple of dollars on a small order and by a great deal more on a large one, and it is the single commonest arithmetic error on a hand-built purchase order.

Shipping is added and left untaxed here

The $75 shipping charge is added after tax on this sheet, which is the common case in most states for a separately stated delivery charge. It is not universal. If your state taxes shipping, add it to the goods line instead; the sheet shows both figures separately so you can see what moving it would do.

The landed cost a unit is the comparable number

$827.21 across 40 units is $20.68 each, against a headline price of $18.50. That gap is the discount, the shipping and the tax working against each other, and it is the only figure that can honestly be compared with a second supplier quoting a different unit price and a different delivery charge.

Should the discount come off before or after tax?

Before. Tax is charged on what you actually pay for the goods, so the discount reduces the taxable amount. This sheet does it in that order and shows the net goods value separately so you can check.

Is shipping taxable?

It depends on your state and on whether the charge is separately stated. This sheet leaves it untaxed, which is the common case; if yours is taxed, put it into the goods line and the total will be right.

What number should I start at?

Anything, as long as it never repeats. Starting at 1001 rather than 1 is a common convention and makes early orders look less like a first attempt, which occasionally matters with a new supplier.
